How to setup an Out Of Hours

Setting up Out Of Office (OOF) messages is a useful feature when you are away from work and want to inform your colleagues and clients about your unavailability. In this guide, we will walk you through the steps to set up Out Of Office messages on both Microsoft Teams and Microsoft Outlook.


Setting up Out Of Office on Microsoft Teams


1. Open the Microsoft Teams application on your computer or mobile device.


2. Click on your profile picture or initials at the top-right corner of the screen.


3. From the dropdown menu, select "Settings".


4. In the Settings menu, choose "Notifications" on the left-hand side.


5. Scroll down to find the "Out of office" section and click on it.


6. Toggle the switch to enable the Out Of Office feature.


7. Enter a custom message in the text box to let your colleagues know about your absence. Also, please include who to contact in case of an Emergency.


8. Optionally, you can set the start and end dates for your Out Of Office status.


9. Click "Save" to apply the changes.


Your Out Of Office message will now be displayed in your Microsoft Teams status, alerting your colleagues that you are away and providing them with any necessary information.




Setting up Out Of Office on Microsoft Outlook



1. Open Microsoft Outlook on your computer.


2. Click on the "File" tab at the top-left corner of the screen.


3. From the dropdown menu, select "Automatic Replies (Out of Office)".


4. In the Automatic Replies window, check the box for "Send automatic replies".


5. Enter the message you want to be sent as your Out Of Office reply in the provided text box. Also, please include who to contact in case of an Emergency. 


6. Optionally, you can set the start and end dates for your Out Of Office message.


7. If you only want to send automatic replies to people within your organization, check the box for "Send replies only to contacts in my list".


8. Click "OK" to save your settings.


Your Out Of Office message is now set up in Microsoft Outlook, and anyone who sends you an email will receive an automatic reply notifying them of your absence.



Remember to disable the Out Of Office feature once you return to work to avoid sending automatic replies when you are available again.
